What to record for each lawn care property

Updated October 22, 2026 · For lawn care and turf spray companies

When a regular crew member is out, the replacement needs to know where the gate code is, which side the dog is on and which beds to skip. Good property records make every crew interchangeable.

The basics

  • Property name or owner, and the service address.
  • Lawn size, in acres or square feet, for product and time estimates.
  • The plan sold: mowing, treatment program, add-ons.
  • Status: active, paused or ended.

Access and hazards

  • Gate codes and where to park.
  • Pets, and when they’re out.
  • Irrigation schedule, so you don’t spray before sprinklers run.
  • Areas to avoid: vegetable gardens, ponds, play areas, neighbor’s plants.

History

Keep each visit with its date and status, and any notes from the crew. Over a season, the history shows patterns: a lawn that always gets wind holds, or one where the customer asks for skips.
