Scheduling recurring lawn care visits by property

Updated October 22, 2026 · For lawn care and turf spray companies

A lawn care company sells a plan (mowing, fertilizer rounds, pre-emergent, weed control) and then has to deliver it property by property across a season. Without a clear schedule, rounds get missed, customers notice, and cancellations follow.

The fix is to turn every plan into dated visits per property, and make marking a visit done part of the job.

Start from the property

Record each property with its address, size and the plan you sold. Size drives time and product; the plan drives which visits it needs. Keep access notes (gate codes, dogs, irrigation schedule) with the property so crews see them.

Turn the plan into dated visits

Lay out each property’s visits for the season (a mow every week, a fertilizer pass every few weeks) and give each a date. Then each day’s work is simply the visits dated that day, and you can see a week ahead whether a crew is overloaded.

Mark visits done the same day

Crews should mark each visit done on site. At the end of the day anything not done is either held (weather) or needs a new date. Nothing silently slips, and the office can answer “did you come today?” without calling the crew.

Pause or end properties cleanly

When a customer pauses or cancels, mark the property paused or ended so it stops showing up in planning, and keep its history. If they come back next season, the record is still there.
